About the Organization

Zeta Phi Beta Sorority, Incorporated (ΖΦΒ) was founded on January 16, 1920, at Howard University by five trailblazing women. The sorority is built on the principles of Scholarship, Service, Sisterhood, and Finer Womanhood. It is a historically Black sorority and a member of the National Pan-Hellenic Council. With over 125,000 initiated members and more than 900 chapters worldwide, the organization is known for its community-conscious, action-oriented programs, including Z-HOPE (Zetas Helping Other People Excel).

About the Team

Established in 1948 by the 12th International President and first Executive Secretary (now Executive Director), Lullelia Walker Harrison, the International Headquarters (IHQ) of Zeta Phi Beta Sorority, Incorporated was the first Black sorority to establish a national headquarters. The IHQ team works collaboratively to support the sorority’s mission and ensure efficient and effective operations across its numerous chapters worldwide. Grounded in our core values, integrity, diversity, equity, inclusion, respect, collaboration, and accountability, the team serves as the neutral center of global operations. The team strives to be the catalyst for modern, innovative, reliable, and sustainable solutions that create effective business practices, enhance the member experience, and promote the global community impact of the organization.

1. Project Overview

This project aims to recognize and honor members who have achieved 25 years of membership and service with a commemorative pin and certificate.

2. Objectives

  • Design (original design) and produce a high-quality 25-Year recognition pin.
  • Design, produce, and print corresponding certificates.
  • Coordinate distribution of pins and certificates to be mailed directly to recipients and during a designated event(s).
  • Maintain accurate records of recipients and shipping.

3. Deliverables

  • Finalized pin (must be approved by Zeta Phi Beta Sorority, Inc.)
  • Finalized certificate (must be approved by Zeta Phi Beta Sorority, Inc.)
  • Receive list of orders to produce pins and certificates from Zeta Phi Beta Sorority, Inc.
  • Mail certificates and pins within 30 days of placing the order

4. Qualifications

  • Must be a licensed vendor for Zeta Phi Beta Sorority, Inc.
  • Proposed design must be an original design.

5. Product Specifications

  • Pin: No greater than 2 inches, includes “Sapphire” theme
  • Pin: Must not have identifiers on it
  • Certificate: 8.5 x 11, thicker paper, foil seal, signature lines for “International Grand Basileus” and “First Anti-Basileus

7. Roles & Responsibilities

  • Project Lead: Oversee all aspects of the project, ensure deadlines are met.
  • IHQ Team: Verify eligibility of vendor and provide recipient data for shipping purposes.
  • Vendor Liaison: Coordinate with Zeta Leadership on timelines, lead pin manufacturing, confirm direct mailing to recipients.
  • Vendor: Design, produce, and mail pins.
  • Communications Lead: Draft messaging including certificate wording and coordinating outreach.

9. Success Criteria

  • Pins delivered on time and in great condition
