Zeta Phi Beta Sorority, Incorporated (ΖΦΒ) was founded on January 16, 1920, at Howard University by five trailblazing women. The sorority is built on the principles of Scholarship, Service, Sisterhood, and Finer Womanhood. It is a historically Black sorority and a member of the National Pan-Hellenic Council. With over 125,000 initiated members and more than 900 chapters worldwide, the organization is known for its community-conscious, action-oriented programs, including Z-HOPE (Zetas Helping Other People Excel).

About the Team

Established in 1948 by the 12th International President and first Executive Secretary (now Executive Director), Lullelia Walker Harrison, the International Headquarters (IHQ) of Zeta Phi Beta Sorority, Incorporated was the first Black sorority to establish a national headquarters. The IHQ team works collaboratively to support the sorority’s mission and ensure efficient and effective operations across its numerous chapters worldwide. Grounded in our core values, integrity, diversity, equity, inclusion, respect, collaboration, and accountability, the team serves as the neutral center of global operations. About the Project

Zeta Phi Beta Sorority, Incorporated’s International Headquarters is seeking an experienced Exhibit Development firm to consult on the development of its inaugural pop-up exhibition. The exhibit will be housed in the Washington, DC Headquarters (Built in 1913; 12,686 sqft on a 6,000 sqft lot) and comprised of existing artifacts. The vendor will co-create the vision for the experience and provide guidance for its execution. The vendor will assist with planning the visitor experience through artifact placement, spatial flow, and visuals.

Successful completion of this project should create momentum for a larger initiative to reimagine how the headquarters space is activated for sustainable use and ongoing displays.

Activities

  • 2-hour virtual workshop with internal stakeholders
    Goal: Understand and align exhibit and experience desired outcomes for stakeholders and visitors
  • Review list of existing items in collection, AV hardware and pre-existing media to assess the needs to successfully execute the desired outcomes
    Goal: Assess space floorplan and budget constraints to determine off-the-shelf recommendations for artifact displays, design enhancements, and visitor flow

Deliverables

  • Bi-weekly coordination meetings with point of contact(s) to assess progress and provide guidance
  • Evaluation of existing assets and recommendations for branded, written and facilitated content

1. Introduction

Zeta Phi Beta Sorority, Incorporated is seeking quotes from qualified vendors to provide kitting services for our new member materials. The selected vendor will be responsible for assembling, packaging, preparing, and shipping kits for distribution to new members on a recurring basis. Our new member seasons are approximately September through December and February through April.

2. Scope of Work

  • The selected vendor will be responsible for the following tasks:
    • 2.1 Materials Handling
      • Receive and inventory all components provided by Zeta Phi Beta Sorority, Incorporated or designated suppliers.
      • Store materials in a clean, organized, and secure environment.
    • 2.2 Kitting Services
      • Assemble kits according to a predefined checklist.
      • Ensure quality control to verify all items are included and properly arranged.
      • Package kits in branded or specified packaging materials.
      • Include packing slips with each kit.
    • 2.3 Fulfillment
      • Label and prepare kits for shipping or delivery.
      • Coordinate with Zeta Phi Beta’s point of contact(s) to establish a fulfillment system and third-party logistics providers for distribution.
      • Provide timely tracking information and confirmation of shipments.
    • 2.4 Reporting
      • Maintain records of inventory levels, kit assembly counts, and shipment logs.

I. Introduction

Zeta Phi Beta Sorority, Incorporated is seeking a certified Salesforce partner to serve as a strategic consultant, developer, and technical support resource. This partner will support the stabilization and transformation of our Salesforce environment. The partnership will begin with immediate security and storage initiatives, with a path to long-term system architecture improvements aligned to our organizational mission, compliance requirements, and member-experience goals.

III. Project Scope

Our current CRM is built on a customized Salesforce platform powered by Fonteva, supporting membership management, financial processing for dues and chapter assessments, and member service delivery. Modernization efforts are focused on optimizing the Salesforce Experience Cloud environment, strengthening system integrations and identity management, and enhancing external data connectivity to ensure scalability, compliance, and an improved member engagement experience.

Zeta Phi Beta Sorority, Incorporated seeks an all-in-one partnership with a vendor capable of providing strategic consulting, development, security, and long-term support services. Our goal is to engage a partner who can not only address immediate needs but also evolve with us over time as new priorities emerge, ensuring continuity, efficiency, and trusted expertise across all phases of our digital transformation.

Phase 1 – Immediate Needs

  • 1. Storage Optimization & Cost Reduction
    Immediately address current storage overages by implementing integrations with preferably SharePoint or other recommended external storage systems based on efficiency, cost-effectiveness, and integration quality.
  • 2. Security & Compliance
    • Review and strengthen Multi-Factor Authentication (MFA) across user types (internal staff and Experience Cloud users).
    • Assist with PCI, FERPA, HIPAA compliance alignment across portals and external systems.
    • Provide policy guidance and technical implementation support for system hardening.
  • 3. Data Governance & Archiving
    • Develop an archiving strategy for inactive records and historical data.
    • Review and provide recommendations on data retention and access policies and assist with policy implementation.
    • Implement solutions that improve audit readiness, reduce clutter, and ensure compliance.

IV. Partner Responsibilities

  • Initiate engagement immediately upon selection to address urgent Phase 1 needs.
  • Prioritize immediate remediation of storage overages by assessing the current environment and recommending a storage optimization solution.
  • Assess and strengthen Multi-Factor Authentication (MFA) implementation across applicable user groups.
  • Conduct compliance and security posture review, including risk areas related to HIPAA, FERPA, PCI, and internal data policies.
  • Deliver an action plan for Phase 1 within 30 days, covering storage reduction, MFA enforcement, and compliance remediation.
  • Provide documentation and staff training focused on Phase 1 deliverables.

Policy enforcement will remain the responsibility of Zeta Phi Beta Sorority, Incorporated.

V. Strategic Expansion Priorities

Following the successful completion of Phase 1, Zeta Phi Beta Sorority, Incorporated will continue to strengthen its digital infrastructure in alignment with organizational priorities.

Key focus areas for future phases include:

  • Membership lifecycle automation (membership intake, renewals, transfers, etc.)
  • Experience Cloud restructure for chapter, state, and regional leadership portals
  • Cross-system integrations (Microsoft 365, Kajabi, LMS platforms, payment gateways, SSO with identity management)
  • Advanced analytics dashboards using Power BI or other recommended tools
  • Fulfillment and inventory tracking for membership materials and chapter distributions
  • Service hour tracking and programmatic measurement
  • Fundraising/event management solutions

This role will help to conduct feasibility studies for future phases to create a detailed scope of work for each focus area which will be developed collaboratively based on organizational priorities, resource readiness, and phased implementation goals.

VI. Evaluation Criteria – Development, Consulting, and Support

Proposals will be evaluated based on the following weighted criteria:

  • Experience developing in Fonteva Membership Management and the Salesforce Platform, including Lightning Experience and Experience Cloud
  • Expertise in data integration, external storage, and compliance (MFA, FERPA, PCI, etc.)
  • Demonstrated consulting capability: architecture, strategy, and policy advising
  • Cost structure, including hourly rates, flexibility, and transparency
  • Support capacity: responsiveness, documentation, and long-term availability
